Attachments in an RTF message appear as icons within the message body. With RTF, you can format text with bullets, can align text, and can use other options, including adding linked objects.

Outlook also automatically formats messages that contain voting buttons, and converts tasks and meeting requests to iCalendar format. In fact, when you send an RTF message to someone outside your organization, Outlook automatically converts it to HTML, so the message keeps its formatting and its attachments. You can use RTF when you send messages inside an organization that uses Microsoft Exchange, but we recommend that you use the HTML format. Microsoft Exchange Client versions 4.0 and 5.0 Rich Text Format (RTF) is a Microsoft format that’s supported only by these email applications: The plain text format also doesn't support showing pictures inside the message, although you can include pictures as attachments. This format works for all email programs, but it doesn’t support bold or italic text, colored fonts, or other text formatting. HTML is also the best format to use when you want to create messages that look like traditional documents, with various fonts, colors, and bulleted and numbered lists, and when you want to show pictures inside your message. This is the default message format in Outlook. You can choose the format you want depending on whether you’re including bold or italic text, colors, bullets, or pictures in the message body.Įach message format has different benefits. Outlook gives you three message format choices. If the recipient's email program is set to convert messages, for example, then a message you send formatted as HTML could be converted to plain text. How the message appears to the person receiving it depends on their email program. If someone sends you a plain text message, for example, you can reply to that message or forward it by using HTML or Rich Text Format. You can change the format of a message when you reply to it or forward it. So the only true way I believe to fix this is to set the Layout margins, but I'm beginning to think Outlook doesn't have this option.Outlook for Microsoft 365 Outlook 2021 Outlook 2019 Outlook 2016 Outlook 2013 Outlook 2010 Outlook 2007 More. Setting the left indentation to 5" seems to work, though I noticed if you press the back button to delete text, it will still go back to the far left margin at 0. I tried using the Paragraph Settings under the Format Text tab, but it will not save as default, even when I select "Set as Default". Use Feedback for suggestions or feedback about accounts.

I have tried to change it manually, but I can't find the Layout tab so I can set the left margin. Outlook Feedback covers Outlook as an email client, including Outlook Android, iOS, Mac, and Windows clients, as well as the browser extension (PWA) and Outlook on the web. You would think each theme provided would adjust the margins automatically for its theme graphic. The problem is when I compose a new email, the left margins are not offset by this, and stay at 0, which puts my text in the graphic. This theme places a spiral notebook graphic down the left side of the email body overlapping the body by about 1/2" wide. I have "Use theme's font" selected for the theme font.

I'm using the theme Notebook under Mail > Stationery and Fonts in Outlook 2016. If you change the values, click the Set as Default button at the bottom of the dialog, then choose All documents based on NormalEmail.dotm template and click OK to commit the changes. Adjust the width of the compose message form instead.

Do not use indentation or margins to make line wrap on wide screen monitors while you are composing them this will affect the margins and format on the message the recipient receives. If you want to use indentation, keep it very small. The Left and Right Indentations should be set to zero. (If the ruler is visible, you can point to the indentation triangles and double click to open the dialog instead.) On the Format tab, click the Expander icon to open the Paragraph dialog. Both the Left and Right Indentation should be set to 0 (zero). To check or adjust the margins in Outlook 2010 and up, you need to look at the Paragraph settings and Page Setup. It's better to adjust the width of the compose window if you need to make the lines shorter and easier to read while composing messages. Trying to force line lengths using margins or the Enter key to break lines only results in readability problems for the recipient.

Outlook doesn't have an option to set the width of a message - it uses the full width of the message window and wraps text in the window as needed. If the recipient opens the message in a window 500 pts wide, the message would be indented 200 pts from the right edge. As set in this screenshot, the right margin is approximately 200 pts. Recommended setting: keep the right margin triangle at or very near the right edge of the page (identified by red arrow).
